Sync a Calendar with Google Calendar

Sync a Calendar with Google Calendar

Connect Google Calendar from Connections, verify imported events and understand how appointment classification relates to notifications.

Use the calendar’s Connections tab to connect Google Calendar and import events into Zonitel. The connection is configured for each Zonitel calendar. Confirm the imported events before relying on a booking link to reflect your commitments.

Connect the intended Google account

Alternative route from Integrations: Go to Settings → Integrations. Under Scheduling & CRM, find Google Calendar and click Manage calendars. Open the settings for the intended calendar, select Connections, then click Connect Google Calendar in the Google Calendar Sync section.

Both routes lead to the same calendar connection settings. Google Calendar is connected per Zonitel calendar, not globally for the entire account.

  1. Open Settings → Calendars Config and the settings of the intended calendar.
  2. Choose Connections, then find Google Calendar Sync. Other integrations, such as GoHighLevel, have separate sections.
  3. Click Connect Google Calendar. Review the permissions requested by Google; do not assume the connection is read-only.
  4. On Google’s screen, confirm the account holding the calendar and review the requested permissions before approving.
  5. Return to Office and check the connection status and imported events for that calendar.
General, Availability, Connections, Booking Pages and Appointment agents tabs

Open Connections for the selected calendar. General contains the imported-event classification setting.

If you manage several calendars, verify each connection separately. The Sync column in Calendars Config shows the connection status. Sync All Calendars requests a refresh of connected calendars; it does not connect calendars that have never been authorized.

Review the selected calendar and deletion behavior

In Connections → Google Calendar Sync, check the connected account and Syncing calendar. Use Change only when you intend to select a different source calendar. The setting When an appointment is deleted in Google lets you choose Delete it in Zonitel too or Keep it in Zonitel. Review this policy before deleting appointments in Google.

Sync now brings in events from every calendar connected below. It refreshes existing connections; it is not a substitute for connecting the correct account or selecting the intended calendar.

Decide how to classify imported events

In General, Treat events from Google and Outlook as appointments controls how newly imported events are used. It is off by default. When off, imports only block the time. When on, eligible imports appear in Appointments, can be confirmed, and can be found by appointment agents to confirm or reschedule. Either way, they occupy the slot.

Holidays, birthdays, focus time, working location and out-of-office events are never appointments. The setting applies to events imported from now on; changing it does not promise to reclassify older imports. Review the intended calendar before choosing Save General Settings.

Importing an event, classifying it as an appointment and sending an SMS are separate steps. Review the applicable notification template or automation and recipient data before expecting messages. Be especially careful with a Google calendar that mixes client appointments with personal or internal events.

Verify a sync

  • Confirm the correct location, Zonitel calendar and Google account.
  • In Calendar, enable the relevant calendar under My Calendars and navigate to the event’s date.
  • Compare a known event’s title, date and time, including the time zone.
  • Open the intended booking link and check the relevant period. Also review weekly availability, capacity, blocked dates and the link’s limits.

The Integrations card describes two-way sync. A connected status is not proof that a particular change has arrived. Verify a non-sensitive test event in both calendars before relying on the workflow.

If events are missing or stale

Check the account and connection status before reconnecting anything. Confirm the calendar is visible and the date/time zone is correct, then review the result of a sync refresh. If authorization needs attention, use the connection controls shown in Office and complete Google’s review with the intended account.

If the issue continues, send Support the affected calendar, connection status, event date/time with time zone and what is missing. Share screenshots with unrelated event details hidden. Do not send passwords or access tokens.

Google is optional for Zonitel booking links. For a working setup without Google, configure the calendar’s availability and keep its commitments current in Zonitel.
