Weekly Availability, Slot Duration and Blocked Dates
Configure weekly ranges, appointment duration, simultaneous booking capacity, shift overrides and blocked dates, then verify customer availability.
Open Settings → Calendars Config, find the intended calendar and open its settings. Availability controls the weekly ranges offered for booking. Duration, capacity, blocked dates and the selected booking link also affect the result.
Separate duration from capacity
On General, Default Slot Duration sets how long a slot lasts. Slots Per Booking sets how many appointments may share the same time. For example, a 30-minute duration and capacity of 2 allow two bookings at the same time; they do not turn each booking into a one-hour appointment.
Choose capacity your team can actually handle, then click Save General Settings. A manual appointment uses its selected start and end times. A custom booking link can have its own Appointment length; see Booking Pages.
Add or edit a weekly range
- Open Availability. Review each day’s Active or Closed status and existing ranges.
- Click Add on the day, or Add availability. Use the pencil on an existing range to edit it.
- Choose Day of Week, Start Time and End Time. Add a Shift Name if useful.
- Leave Slot Duration (Override) and Slots Per Booking (Override) on Use default to follow General, or select values for this shift. The capacity override also means appointments at the same time.
- Keep Active checked for a range that should be offered. Click Save Schedule and confirm it appears on the correct day.
For a lunch break, create a morning range and an afternoon range with a gap between them. Check that no other active range covers the gap. To pause a range, edit it, clear Active and save; other active ranges on that day can still offer times.
Use shortcuts carefully
- Setup wizard: choose working days, start/end times, an optional morning/afternoon split and slot duration. Review them before clicking Create Schedule, then check the resulting week.
- Copy day: choose Copy From and the Copy To days, then Copy Schedule. Office warns that this replaces all existing schedules on the selected destination days. Check those days before proceeding.
- The trash icon deletes a range. Use Active when you only need to pause it.
Block a closed date
Under Blocked Dates (Holidays / Vacation), choose the date and click Block Date. Confirm the date in the saved list. Add Common Holidays is also available; review the dates it adds instead of assuming they match your business’s closures.
Review appointments already booked for a closed date and handle any changes separately. Do not assume blocking new availability cancels appointments or their messages.
Verify the customer’s available times
- Confirm the calendar, business time zone, active ranges and any shift overrides.
- Check a normal working day, a lunch gap, a closed day and a blocked date.
- The shared calendar link follows Availability. Custom links can narrow those hours, but cannot open time outside them.
- Review the link’s appointment length, notice, buffers and daily limit, along with existing bookings and imported events, when a time is missing or unexpectedly available.
The statistics panel helps review active days, schedules, blocked dates and week coverage. Use the actual booking link as the final check before customers book.
