Create Events: Appointments & Scheduled SMS Messages

Create a calendar appointment or schedule an SMS to be sent later from New Event. Learn the difference between Calendar Appointment and Scheduled Message, as well as how to use templates and attachments.

In the Calendar module, New Event includes two event types:

  1. Calendar Appointment (creates an appointment on the calendar)

  2. Scheduled Message (schedules an SMS to send later — does not create a calendar event)


Open New Event

  1. Go to Calendar

  2. Select the date that we want to create the event, or click on + New Event.

  3. Choose the tab you need:

    • Calendar Appointment

    • Scheduled Message


Option 1: Calendar Appointment (creates a calendar event)

Fields you can set

Calendar *
Select the calendar where the appointment will be created (Main Calendar, Holidays, Birthdays)

Search Contact
Search by name, phone, or email.

Phone Number *
Required. You can select a contact or enter the number manually.

Contact Name
If contact is already save Name will show (Please keep in mind that any change will automatically update in the form First and last Name).

Title *
Required. This is what you’ll see on the calendar event block.

Note
Optional internal notes for your team.

Appointment Date *
Select the appointment date.

Start Time * and End Time *
Choose the appointment time range.


Notify the client (SMS options)

Notify Client checkbox

Enable Notify Client if you want the client to receive an SMS when the appointment is created.

SMS Message (custom)

Type a Custom SMS message for this appointment.

 

Appointment Notifications Templates

Use Appointment Notifications Templates to select a pre-built notification template.

  • Choose a template from the dropdown

  • Click Load Template to apply it

You can create or edit templates inside the Calendar section (Notification Templates). Templates are easy to manage and fully customizable; see the related article.

✅ Click Save Appointment when done.


Option 2: Scheduled Message (sends an SMS later, no calendar event)

This option schedules an SMS to send at a specific date and time.

Important: Scheduled Message will not create a calendar event.

Fields you can set

Send From (SMS Number) *
Choose which phone number will send the message.

Search Contact
Search by name, phone, or email.

Phone Number *
Required. Select a contact or enter manually.

Contact Name
Helpful for new contacts, and if the contact is already save Name will show (Please keep in mind that any change will automatically update in the form First and last Name).

Send Date & Time *
Choose when the SMS will be sent.
The system shows the timezone used (example: America/New_York).

Message Template
If you would like to reuse a standard message, choose a template. (Remember that the conversation section is where these templates originate from).

Message Text *
Type the message content to send.

Attachments (Optional)
You can upload 1 file (up to 1MB), such as Images or a PDF.

✅ Click Schedule Message to finish.


Good to know

  • Calendar Appointment = appointment on the calendar (with optional SMS notification).

  • Scheduled Message = SMS only, sent later (no appointment event).

  • If you use templates, you can keep messaging consistent across staff and reduce mistakes.


Try it

  1. Create a Calendar Appointment with a title and a client phone number.

  2. Enable Notify Client and load a template.

  3. Create a Scheduled Message to send a follow-up SMS tomorrow morning.
