Use Daily and Weekly Activity Reports

Use Daily and Weekly Activity Reports

Review calls by extension, outbound messages by user, messages by local number and the fax journal for a day or week.

Open Analytics → Custom Reports. Four reports help you review routine activity: weekly calls, outbound messages by user, messages by destination and the fax journal.

Choose a day or week

Open the report and use its period picker. In the call and outbound-user reports, quick choices include Today, Yesterday, This week, Last week and Previous week. The calendar also provides Day/Week selection and month navigation. Select the intended date or week and confirm the displayed range after loading.

Use the same range and location when comparing reports. “Last week” and “the last seven days” are not interchangeable assumptions; read the dates actually shown.

Weekly calls

Choose Calls → Weekly (Weekly call report). Review Total calls and Missed calls, then the extension table: Extension, Name, Answered, Outbound, Avg duration and Total duration.

Use Answered and Outbound to distinguish the displayed activity categories, and duration fields to understand time spent. The average is the report's own metric; do not reconstruct its denominator by guessing from the other columns. For individual missed calls use All Calls; for whether those people later connected use Calls Agent performance.

Outbound messages by user

Choose Conversations → Outbound by user. The table groups outgoing SMS/MMS by Username with Total outbound messages. It answers who or what account is associated with outgoing messaging activity for the period.

Blank, anonymous or automated entries should not automatically be assigned to a person. Counts are messages, not unique clients or proof of a manual reply. Use Messaging Insight to inspect date, direction, numbers and user details, and Conversations Agent performance to study response times.

Messages by destination

This report groups activity by Local phone number, meaning the business line. Its columns are Total, Inbound, Outbound and Outbound agents.

Use it to compare demand and outgoing work across your business numbers. Despite the title, it is not a report of recipient countries. An N/A or anonymous entry should be investigated in the individual records rather than assumed to represent a particular customer or agent.

Fax journal

Choose Faxes → Fax journal. The overview contains Total faxes, Inbound, Outbound, Inbound pages and Outbound pages. The journal lists Date, Mode, Destination, Caller ID and Status.

Fax transmissions and pages are different units: one fax can contain several pages. Check the selected period, direction and status before comparing a card with the visible entries. Do not assume the visible row count always reproduces every overview figure. Use the Fax Usage guide for the usage report and archived faxes.

Review and share findings

Wait for loading to finish and compare like-for-like periods before drawing conclusions. These reports are useful for activity reviews, but counts alone do not measure service quality. To schedule email reports, use Administration's scheduled-report settings; viewing this page does not subscribe anyone. Share customer details only through appropriate private channels.
