Scheduled Reports and Alert Recipients

Scheduled Reports and Alert Recipients

Set the recipients and delivery schedules for Call Report, Fax Journal and Automation Alerts, then verify both the report activation and the saved settings.

Use Settings → Notifications Config to choose who receives operational reports and alerts. A complete setup has two parts: the right recipients selected for each type, and the report or alert enabled with the intended delivery settings.

Confirm the scope

Check the location at the top of Office before changing recipients. Decide which mailbox should receive each type and who will act on it. A scheduled call report, a fax journal and an automation alert serve different purposes.

These notification recipients are separate from portal permissions, the billing contact and calendar appointment reminders. Adding someone's address here does not create a portal login. Reports Administrator controls access to performance reports; it is not a replacement for configuring this recipient grid.

Add a recipient

  1. Open Settings → Notifications Config and find Recipients.
  2. Check whether the intended email is already listed before adding it again.
  3. Click Add recipient to open New recipient.
  4. Complete Name so your team can recognize the recipient and enter the correct Email, which the form marks as required.
  5. The form also shows Phone SMS and WhatsApp. Review these only when relevant; their presence does not mean every report is delivered by SMS or WhatsApp.
  6. Click the form's Add recipient button. Check the new row, or use Cancel to leave without adding it.

Choose what each person receives

The grid has one column each for Call report, Fax Journal and Automation alerts. Select the appropriate controls in that person's row. Review the row and column together so a report is assigned to the intended mailbox.

Several recipients can receive the same report, and each recipient can have a different selection. For example, the office manager may need the call report, while the person responsible for faxes needs the fax journal. If a person should stop receiving one report, change that report's selection rather than assuming their portal permissions control delivery.

Enable and schedule the reports

Under Report schedules, each type has its own activation control. A recipient selected in the table is not sufficient if the corresponding report is disabled.

Call Report and Fax Journal

  1. Enable the intended report.
  2. Choose Frequency: Daily, Weekly or Monthly.
  3. Set Time and check the displayed AM/PM where applicable.
  4. For Weekly, select Day of week. For Monthly, select Day of month. Both reports offer these fields according to the selected frequency.
  5. Review the short schedule summary at the top of that report's card.
  6. Review Channels. The configuration reviewed here displays Email.

The monthly day selector currently offers days 1–28. Choose one of the displayed options; do not assume that day 29, 30, 31 or an automatic last-day-of-month option is available.

A weekly Monday morning report can support a team review; a daily report is useful when someone reviews it daily. These are scheduling examples, not a statement about the exact date range contained in a generated report.

Automation Alerts

This card shows Realtime instead of a daily, weekly or monthly schedule. Enable the alert type and select its recipients. The reviewed channel is Email. Realtime alerts are associated with the relevant automation event, not a recurring report delivery time.

Save and verify

  1. Review recipients, per-recipient report selections, activation controls, frequencies and times.
  2. Click Save settings.
  3. Check the result shown by Office. Reopen Notifications Config and confirm that the intended selections and schedule remain.
  4. For the first expected delivery, check the recipient mailbox at the appropriate time and compare the received report with the configuration.

Do not assume which time zone the schedule uses if the screen does not make it clear. When delivery timing is critical, have Support confirm the schedule interpretation for the location and check a real delivery. Changing the business time zone is not a diagnostic shortcut for a missing email.

If a report does not arrive

Start with the correct location, report activation, recipient selection, saved email address and expected schedule. Check spam and business-mail filtering as well. Follow the report-delivery troubleshooting guide for a structured review and the details to provide to Support.

To inspect call activity without waiting for a scheduled email, open Analytics and use Call Summary. Compare the period and filters; do not assume every on-screen report has identical contents to the scheduled email.
