Your Business Details and Time Zone

Your Business Details and Time Zone

Update the selected location’s business details, billing contact and time zone, save the changes and check the information in the relevant screens.

Business Settings contains the business details and billing contact for the current location or domain. Office identifies these details as information used on invoices, faxes and the account. Review the selected location before editing so the change applies to the intended business context.

Open the correct location's settings

  1. Sign in to Office and check the location shown at the top.
  2. If necessary, use the location-switching guide to select the intended location.
  3. Open Settings → Business Settings.
  4. Review the existing information before changing any field. If this page or a field is unavailable to you, ask your business administrator to review access.

Business information fields

  • Business name: the name to use for this business context. Check the spelling and the name the business intends customers to see.
  • Business address: the street address. Review any suite or unit information needed for a complete address.
  • City and State: review these together with the street address.
  • Zip code: shown as optional in the current form. Include the correct postal code when applicable.
  • Time zone: select the appropriate zone for the location. Review the saved selection rather than relying only on the current clock on your computer.

Billing contact fields

The Billing contact section identifies the accounting or billing point of contact:

  • First name and Last name: the person responsible for account correspondence.
  • Business phone: a contact number for that purpose. Follow the number format shown by the form.
  • Contact email: a mailbox that the responsible person or team actually monitors.

A billing contact is not the same as a portal user. Updating this email does not grant a login or Billing Administrator access. Use Users for portal access and Notifications Config for recipients of scheduled reports and automation alerts.

Save and confirm the result

  1. Review the selected location, business fields, time zone and billing contact.
  2. Click Save changes at the bottom of the form.
  3. Check the result Office displays and resolve any validation message.
  4. Reopen Business Settings and verify that the intended values remain saved.
  5. If you changed details for documents or billing correspondence, check the relevant document or account screen as well. Ask Support about a document that was already issued and still needs correction.

Do not assume that editing these fields rewrites every previous invoice or fax, changes the legal entity of the account, or updates separate registrations and integrations. If the legal entity or account ownership changed, have Support review the related account records.

Reviewing a time-zone difference

The time-zone selector is a location setting. The exact handling of time can also depend on the screen, report or external integration being viewed. A difference on one screen does not by itself establish that this setting is wrong.

  1. Identify a specific call, message, appointment or report with a time that looks incorrect.
  2. Write down the full date, displayed time and any zone or offset shown. Check AM/PM and dates that cross midnight.
  3. Compare that same event in the other relevant screen or external system. Two different zone displays can describe the same moment.
  4. Review the saved business time zone and any time-zone setting or label in the module involved.
  5. If the location setting is actually wrong, coordinate the correction with the people who manage schedules. Save it and check a representative result in each affected workflow.

Avoid changing the time zone repeatedly to make one report or appointment line up. If the relationship between screens is unclear, send Support the location, event reference, both displayed times and their zones. Support can verify the affected workflow without assuming that every screen uses time in the same way.

When to review these settings

  • The business changes its address or trading name.
  • The person or team responsible for billing correspondence changes.
  • A new location operates in a different time zone.
  • A document shows outdated business details.
  • A schedule or timestamp appears wrong and you are comparing the relevant settings.

After reviewing one location, check any other locations that need separate updates. Do not assume that saving one page updates all locations in the account.
