Sent Faxes and Delivery Status

A fax is not delivered the moment you send it. This guide shows you where to check whether it arrived, what SENT and FAILED mean, how to search your sent history, what to try when a fax keeps failing, and how to prove what you sent and when.

Checking whether a fax arrived

A fax is not delivered the moment you click send. It has to reach the other machine, which may be busy, out of paper or simply not a fax line. The Sent list is where you find out what actually happened.

  1. Log in to your Zonitel Office Portal.
  2. In the left sidebar, click Sent under Fax.

Reading the list

Each row shows the Status, which of your numbers it came From, who it went To, the Date and time, the number of Pages, your Notes, any Labels, and the available Actions.

  • SENT means the fax was delivered and the receiving machine confirmed it.
  • FAILED means it did not get through.

The page counts pages as they were actually transmitted, so a failed fax often shows none.


Finding a specific fax

  • Fax line — narrow to one of your numbers.
  • Date range — pick the period.
  • Custom search — search by the recipient's number.
  • Auto refresh keeps the list updating while you wait on a send.

This is where the notes you wrote when sending earn their keep — they are how you tell two faxes to the same office apart weeks later.


What to do about a failed fax

  1. Check the number. A digit wrong, or a voice line rather than a fax line, is the most common cause.
  2. Try again a little later. Busy machines and paper jams are temporary, and many failures succeed on a second attempt.
  3. Look at the document. Very large or complex files take longer to transmit and are more likely to drop. Splitting a long document into two faxes often works.
  4. Confirm with the recipient. If it keeps failing, call and check the number and that their machine is on and has paper.
  5. Contact us if the same number fails repeatedly and the recipient says their line is fine.

Organising what you have sent

Each row gives you Open PDF to see exactly what went out, Edit note to record what it was about, the Important flag, and More for Labels… and Archive.

Opening the PDF is worth doing when someone says a fax was unreadable — you see what they received.

Q: How do I prove I sent something?
A: The Sent list shows the date, time, recipient and status, and Open PDF shows the document itself.

Q: A fax says FAILED. Was I charged?
A: Check your fax usage in Report, which counts what was actually transmitted.

Q: Can I resend a fax?
A: Open the PDF to confirm what went out, then send it again from Send fax.

Q: Why do pages show as zero?
A: Nothing was transmitted before the attempt failed.
