Fax Usage Report and Archived Faxes
The usage report counts your faxes and pages, inbound and outbound, for any period you pick. This guide shows you how to set the date range, what the totals tell you about how your line is used, and how archived faxes stay searchable without affecting your usage.
Seeing how much you fax
The usage report tells you how many faxes and pages went through your account over a period you choose. It is the screen to open when you are checking a bill, sizing a plan, or working out whether faxing is still worth keeping.
- Log in to your Zonitel Office Portal.
- In the left sidebar, expand Fax and open the fax section, then click Report under Manage.
What the report shows
Pick a date range and the report gives you two sets of totals:
- Faxes — the total, split into inbound and outbound.
- Pages — the same split, counted by pages actually transmitted.
Both numbers matter for different reasons. Fax count tells you how busy the line is; page count is what usage is measured by, so a handful of long documents can outweigh many short ones.
Choosing a period
- Open the date range at the top of the report.
- Select the start and end dates.
- Click Apply.
Matching the range to your billing period makes the totals easy to compare against an invoice.
Reading the numbers
- Mostly inbound — your fax number is a way for others to reach you, so the notification email matters more than anything else. See Fax Line Settings and Notification Emails.
- Mostly outbound — worth checking the failure rate in your Sent list, since repeated retries inflate usage.
- High pages, few faxes — long documents. Splitting them can improve delivery.
- Almost nothing either way — worth a conversation about whether you still need the line.
Archived faxes
Archiving a fax clears it out of your Inbox or Sent list without deleting it. Everything archived stays in Archived, still searchable by fax line and date and still openable as a PDF.
Archived faxes count toward the usage they used when they were sent or received, so archiving does not change your totals.
FAQ
Q: Does the report include failed faxes?
A: It counts what was actually transmitted, so a fax that failed before sending anything contributes no pages.
Q: Can I see one fax number at a time?
A: The report covers your fax activity for the period. To look at a single line, use the Fax line filter in your Inbox and Sent lists.
Q: Where do archived faxes go?
A: To Archived. Nothing is deleted.
Q: How does this relate to my bill?
A: Use it to compare your own totals against what you are billed for, and contact us if the two do not line up.
