Understanding Your Invoice
Read invoice dates, billed items, discounts, taxes and totals, download a copy, and match the invoice with its payment receipt.
Find and open the invoice
- Select the correct business location in Office.
- Open Settings → Billing → Invoices.
- Find the invoice by its number and check the Due date, Total and Status.
- Click the invoice number or its view icon to open the details.
Check the dates and service information
- Invoice date: the date the invoice was issued.
- Due date: when payment is due. It can be the same as the invoice date.
- Bill to · For service at: the business and service address associated with the invoice.
The invoice date is not necessarily the start of the period billed. Check the product description and your service confirmation for the covered dates. Ask support if the period is not stated or a date does not match the agreed change.
Read the billed items and totals
- Product: the service or item being charged, with any additional description.
- Qty: the quantity and unit used for that item.
- Rate: the listed unit price.
- Discount: the reduction shown for the item.
- Amount: the amount billed for that row.
Below the items, review Sub total, Sales taxes, FCC Regulatory fee and Total amount. Use the actual amounts and terms on your invoice; there is no single rate or adjustment that this guide applies to every account.
Recurring charges, purchases and adjustments
Compare the description with your service agreement or order. A regular service charge and a one-time purchase may appear on different invoices. A plan change may also produce an adjustment if that is part of the agreed billing treatment. Ask which dates and quantities an unclear item covers.
For changes to phone service, see Upgrading or Downgrading Your Subscription. Check AI purchases in AI Wallet and message-package purchases in Group Messages when tracing a charge.
Match the invoice to its payment
An invoice describes what was billed. A payment receipt records a payment. When a Payment transaction appears on the invoice, open its number to review the payment date, reference, mode, state and the invoice it was applied to.
You can also use Billing → Payments made to match the date, amount and invoice. A saved card or a bank notification alone does not confirm that the invoice is settled. If a paid status, receipt and displayed balance disagree, ask support to reconcile them before making another payment.
Download a copy
Use Download PDF on the invoice page to save the invoice. The payment receipt has its own Download PDF option. Use Print if you need a printed copy. Keep the invoice and receipt together when reconciling your records.
For an outstanding invoice, see Making Manual Payments. If a payment failed, is pending or looks duplicated, see Failed, Pending or Duplicate Payments.
