Manage Your Personal Profile in Office

Manage Your Personal Profile in Office

Review your personal details, extension, time zone and SMS sender settings, save changes and find the separate password and two-factor guides.

Use My Profile to review your own Office account. Only change information and number assignments you are authorized to manage.

1. Open your profile

  1. In Office, open the profile menu at the bottom-left, labeled Hi, followed by your name.
  2. Select My Profile.
  3. Open the Profile tab. Password and Two-factor are separate tabs.

2. Review Personal details

  • First name / Last name: keep your personal account details accurate.
  • Email address: review the address carefully before changing it. If you are unsure how an email change affects your account access, ask your administrator first.
  • Extension: confirm the extension assigned to you. Do not select another person's extension to troubleshoot calls; coordinate reassignment with your administrator.
  • Time zone: choose the appropriate regional time zone. Review the city/region name, not only the displayed GMT offset. Calendar and Business Hours settings should be checked separately.

3. Review SMS / MMS numbers

  1. Use Edit numbers or the Add / remove phone numbers control in SMS / MMS numbers.
  2. Select only the business numbers you should use for texts. Review the selected-number count.
  3. Choose the intended Default number for new texts. Office states that only numbers selected above can be the default.

If your list is empty or a needed number is unavailable, ask an administrator to review your messaging assignments. Check the sender again when composing a message; a profile setting is not proof of SMS delivery.

4. Save and verify

  1. Review all intended changes and click Update profile.
  2. Check for a success message or field validation error.
  3. Reopen My Profile and confirm the saved values. If you changed a calling or messaging assignment, coordinate a controlled test with your team.

Security and alerts are separate

Use the existing guides for changing your password or setting up two-factor authentication. Desktop message notifications and Inbound Call Info are in the profile menu; they are separate from the fields on this page.
