Your First Day: Setup Checklist
Check access, numbers, calls, voicemail and business hours after activation. Test messaging and fax if included, and know what to report if something fails.
Before you begin
Use this checklist after the team confirms your service is activated. Have your account access, the list of expected numbers and extensions, and an outside phone for test calls ready. Complete the checks with a teammate and keep a note of any item that needs attention.
If a number transfer is still pending, keep the old service active and follow the confirmed transfer plan. This checklist does not confirm that a port is complete.
1. Sign in and check your location
Sign in to the Office Portal with your own user account. Confirm that the selected location is the one you intend to test. If an expected tool is missing, ask your administrator to check your permissions.
Ready when: you can access the correct location and the tools required for your role.

2. Review your numbers and extensions
Use Office Summary on the Dashboard to open Phone Numbers and Extensions. Compare them with the setup agreed with the team. The counts shown in the illustration are examples from a test account.
Ready when: your assigned business numbers are present and each intended user has the correct extension or phone access. Report missing items before testing.
3. Test incoming and outgoing calls
- Call each business number from an outside phone. Confirm the correct greeting and destination.
- Answer and check that both people can hear each other.
- Make an outgoing call from each phone or app you plan to use. Ask the recipient to confirm the displayed number.
- Open Call History to find the test calls.
Ready when: calls reach the expected destination, audio works both ways and the outgoing number is correct. A ring alone does not complete the test.

4. Check voicemail
Place another incoming test call and let it follow the configured no-answer route. If voicemail is expected, listen to the greeting and leave a short test message. Open Voicemails to confirm you can retrieve it. Check email delivery only if voicemail-to-email is configured for your account.
Ready when: the expected mailbox receives the message and the intended user can listen to it.

5. Confirm hours and after-hours routing
Review the business hours, time zone and after-hours destination with your administrator. Agree on a suitable time to test the closed-hours greeting or route. Avoid changing live hours merely to force a test during business hours.
Ready when: the configured schedule is correct and the after-hours route has been tested, or a follow-up test is scheduled.

6. Test messaging and fax if included
- Messaging: after the team confirms activation, send and receive a short test message with a teammate. Check the conversation under Messages.
- Fax: use Send Fax to send a non-sensitive test page to an agreed test recipient. Confirm receipt and test an incoming fax if needed.
Ready when: each requested service works in the required direction. Mark services you did not request as not applicable. Working calls do not confirm that messaging or fax is ready.

Finish or report an issue
Keep the completed checklist with your onboarding notes. For anything that fails, tell support the location, affected number or extension, test time and time zone, expected result and actual result. Include a screenshot with unrelated personal information hidden; never send passwords or verification codes.
