How to Save and Reuse Fax Contacts
Save regular fax recipients, select them while composing and maintain their names, numbers and cover-page notes.
Keep regular fax recipients handy
The Fax contacts panel on Fax → Send fax stores recipients you use regularly. A fax contact helps you fill the recipient information; selecting or saving one does not send a fax.
1. Save a fax contact
- Open Fax → Send fax and click Add in the Fax contacts panel.
- Enter the required Recipient fax number and Recipient name. Add optional Notes only if that text is appropriate for the cover page.
- Check the number and click Save contact. Use Cancel to discard an unfinished entry.
2. Use a saved recipient
- In Fax contacts, use Search name or number… to find the recipient.
- Select the saved contact, then check the recipient information in the fax form. Use Add recipient if you also need other destinations.
- Review the sending line, recipient numbers, cover-page name and notes, and attachments before choosing Send fax. Follow How can I send a new fax? for the complete sending process.
Contact Notes are described as cover-page text. Keep internal case comments in the fax record’s Edit note action instead of putting them on the outgoing cover page.
3. Keep the contact list current
- Use the contact’s Edit button to correct its saved details, then review and save the change.
- Use Delete only for a saved contact you intend to remove. Read any confirmation before continuing.
- Check the selected recipient before every send, particularly if an office has changed its fax number or a saved note no longer applies.
