Create and Use Contact Notes in Conversations

Create and Use Contact Notes in Conversations

Add internal notes from Conversations or the contact profile and verify them in the contact Notes panel.

Contact Notes let your team keep useful context with a person's contact record. Adding a contact note does not send that text to the customer. Notes are viewed in the contact's Notes panel, separate from the customer-message composer.

Add a note from Conversations

  1. Open Conversations → Inbox and select the intended conversation.
  2. Confirm the contact and phone number before writing.
  3. Click the toolbar's Notes icon to open the contact sidebar. The sidebar also provides History, Address and Group Lists.
  4. In the Notes panel, use the Write a note… field.
  5. Enter the note and click Add Note.
  6. Verify that it appears in the Notes panel for that contact.

For example, a note can record a customer's preferred contact hours or the next step your team agreed on. Keep it factual and useful to the people authorized to access that contact.

Add a note from Contacts

  1. Open Contacts, find the person and choose Edit.
  2. Select the Notes tab. The row's More → Notes action is another entry point.
  3. Type in Write a note… and click Add note. The contact-profile field also shows Ctrl+Enter as a shortcut to add the note.
  4. Check the saved note before navigating away.

Use the correct save action

The main contact Save button updates the contact-information form. To add a note, use Add note inside Notes. Text left in the note field has not been confirmed as saved until the note appears in the panel.

To communicate with the customer, use the conversation's message composer and review the recipient before sending. A note is not a scheduled message, a reminder or an assigned task. If you need a message or appointment notification, use that feature's own controls.

Find or troubleshoot a note

  • Reopen Notes for the same contact; do not look only in the message thread.
  • Confirm the selected business/location and compare the phone number if similar names exist.
  • If the panel says No notes yet, check whether the note was added to a different record or left unsaved.
  • If Add note does not complete, preserve the text temporarily, review any validation or error message, and check for an existing saved copy before trying again.
  • If access differs between team members, ask your administrator to review their permissions.

Include only the information needed for the work. When asking support about a note, share the issue and a cropped screenshot without unrelated private content.
