Create appointments from a contact
Book an appointment from the contact profile, review its calendar and time, and choose whether to notify the client.
The Appointments tab in a contact profile lets you review that contact's appointments and start a new booking. Have the intended calendar, date and time ready before opening the form.
Open the contact's appointments
- Confirm the business/location in Office and open Contacts.
- Find the person, verify their number and choose Edit.
- Select Appointments inside the contact profile.
- Review existing entries first. If the appointment already exists and needs a change, use the appointment editing guide instead of creating another booking.
- Click New appointment to open the creation form.
Complete the booking fields
- Select the required Calendar. Confirm it represents the intended staff member, service or schedule.
- Enter the required Title, keeping it clear and appropriate for any notification you plan to send.
- Choose the required Date.
- Select Start time, then End time. The start selector initially asks you to select a date; the end selector asks you to select a start time.
- Complete Location and Description when useful.
- Review the full date and time against the intended calendar and the business's working time zone before saving.
Appointment title, date and start/end time fields before a date is selected.
If the expected calendar or time is unavailable, check the calendar setup and selected date. Avoid choosing an unrelated calendar or arbitrary time simply to submit the form. Use the Calendars guides to review the schedule.
Choose whether to notify the client
When Notify client is available, selecting it reveals the appointment notification template controls and an SMS Message field.
- Choose the intended Appointment Notification Template and click Load template if you want to use one.
- Review the SMS Message text after loading it. Check the appointment details and remove any content that should not be sent.
- Confirm the contact has the correct phone number and that messaging is available for the location. Follow any messaging-availability notice shown in the form.
- Leave Notify client off if you are saving the appointment without requesting that creation notification.
The form links this notification to creating the appointment. Appointment reminders and their templates are managed through the Calendar features; do not assume this checkbox configures every later reminder.
Save and verify
- Review the contact, calendar, title, date, start/end time and notification choice.
- Click Add appointment. Use Cancel to discard the unsaved form.
- Confirm the new appointment appears for the contact, then review it in Appointments or the appropriate calendar.
- If you requested an SMS, check the messaging record separately when delivery needs confirmation. A saved appointment alone does not establish SMS delivery.
