Imported Calendar Events vs. Appointments in Zonitel
Learn when Google and Outlook imports only block time or become appointments, which events are excluded, and how to verify classification separately from notifications.
An event can be visible in your Zonitel calendar and occupy time without being an appointment in the Appointments list. For events imported from Google Calendar or Microsoft Outlook, a per-calendar setting determines that distinction.
Three separate steps
- Connection and synchronization: bring an event from the selected external calendar into Zonitel.
- Classification: decide whether eligible new imports only block time or are treated as appointments.
- Notifications: configure the applicable workflow and recipient information. Importing or classifying an event does not by itself prove that an SMS was sent.
Where to find the setting
- Open Settings → Calendars Config and the intended calendar’s settings.
- Select General and locate Treat events from Google and Outlook as appointments.
- Review the desired behavior before changing it. If you choose to change it, click Save General Settings.
You can also start from Settings → Integrations → Scheduling & CRM → Google Calendar or Microsoft Outlook → Manage calendars. Open the intended calendar and select General for classification or Connections for the connected account and source calendar.
What changes when the option is on?
In General, Treat events from Google and Outlook as appointments controls how newly imported events are used. It is off by default. When off, imports only block the time. When on, eligible imports appear in Appointments, can be confirmed, and can be found by appointment agents to confirm or reschedule. Either way, they occupy the slot.
Holidays, birthdays, focus time, working location and out-of-office events are never appointments. The setting applies to events imported from now on; changing it does not promise to reclassify older imports. Review the intended calendar before choosing Save General Settings.
Choose the right behavior for your calendar
Leave the option off when imported events should simply reserve time, such as personal commitments. Consider turning it on for a dedicated client-appointment calendar when the team needs those eligible imports in Appointments or available to appointment agents. Review the source calendar first: do not treat unrelated personal meetings as customer appointments.
This setting is documented for Google and Outlook. Do not assume it controls GoHighLevel or every other integration. Review those connections separately.
Verify an imported event
- In Connections, confirm the provider, connected account and Syncing calendar. Sync now brings in events from every connected calendar below; it does not connect a new account.
- Use a non-sensitive test event imported after your chosen setting was saved. Check its date, start/end time and time zone in both systems.
- In Calendar, show the intended calendar under My Calendars and check the event’s date.
- If eligible new imports should be appointments, open Appointments, clear restrictive filters and check the correct date range and calendar.
- Check the relevant booking link’s availability. In either classification mode, imported events occupy their slot. Review notifications separately before expecting customer messages.

If it appears in Calendar but not Appointments
Check the classification setting, when the event was imported and whether it is an excluded event type. Changing the option is not a promise to convert older imports. Do not disconnect, delete or re-import records just to force a conversion: that can create unintended changes or duplicates. If the result remains unclear, contact Support with the calendar, provider, event date/time and a privacy-safe screenshot.
