Find Appointments and Manage Confirmation Status

Search appointments by title, contact or phone, filter dates and confirmation status, and open the matching calendar event.

Open Appointments from the Office menu to see booked appointments across the calendars in your selected location. Confirm the location at the top of Office before searching. Use this list when you know a client, title or date and want to find the matching calendar event.

Find the appointment

  1. In Search title, contact or phone…, enter part of the appointment title, contact name or phone number. Allow the list to refresh.
  2. Use From and To to choose a date range. Each opens a date picker; Any date means that boundary is not set.
  3. Choose Status → All, Confirmed or Not confirmed.
  4. Review When, Title, Contact, Calendar and Status together so you identify the correct visit.
  5. Use the page controls if there are more results. Click the main Clear button to reset the search and filters.

If no rows appear, clear the filters, check the location and search again. A date range or confirmation filter can hide a valid appointment. Do not create a duplicate before checking Calendar and the intended calendar.

Confirm a future appointment

A future, unconfirmed appointment can show Confirm in Actions. Use it only after you have a reason to record the appointment as confirmed, such as agreement from the client.

  1. Check the row’s title, contact, calendar and time.
  2. Click Confirm and wait for the row to refresh.
  3. Check that its status is Confirmed. The row can show who recorded the confirmation.
  4. If it was marked in error and Unconfirm is available, use it and verify the resulting status.

Confirmation is an appointment status. It does not by itself prove that an SMS was delivered or that the client attended. Review messages separately when you need delivery evidence. Past appointments can show Past instead of confirmation controls.

Open the matching event

Use the calendar link in the row’s Actions column. Office opens Calendar on the appointment’s date. Click the event to inspect its details when it is editable. For a future appointment, Event Details offers actions such as Edit Notes, Edit Schedule and Delete.

Follow the appointment guide before changing or deleting a booking. Unconfirm changes the confirmation status; use the appropriate event action if the appointment itself must change. If a past event will not open for editing or a save does not finish, contact Support with the calendar, date and the action you attempted.
