Fax Line Settings and Notification Emails

Each fax line has a display name and a notification email that decides who hears about an incoming fax. This guide shows you where to edit both, how to name lines so filtering makes sense, who the notification should go to, and what to check so faxes are never missed.

What you can configure

Each of your fax lines has a display name and a notification email. The name is what identifies the line around the portal, and the notification email is who gets told when a fax arrives.

Getting the email right matters more than it sounds: without it, a fax sits in the inbox until somebody happens to look.


Open your fax settings

  1. Log in to your Zonitel Office Portal.
  2. In the left sidebar, click Configuration under Fax.

The list shows each fax line with its Fax Name, Number and Notification Email.


Edit a fax line

  1. Click Edit on the line you want to change.
  2. In Fax Name, enter the name that should identify this line, such as the department or office it belongs to.
  3. In Notification Email, enter the address that should be told about faxes on this line. You can enter more than one, separated by commas.
  4. Click Save changes.

The fax number itself cannot be changed here. Contact us if you need a different number.


Choosing a good name

The name appears wherever the line is shown, including the Fax line filter in your Inbox and Sent lists. If you have several numbers, names like Front Office, Billing or Clinic make filtering obvious. A single line can just carry your business name.


Choosing the notification email

  • Use an address somebody actually reads every day.
  • For a shared responsibility, a group or shared mailbox beats one person's address — notifications keep working when that person is on holiday or leaves.
  • Add several addresses if more than one person needs to know, separated by commas.
  • Point different lines at different people when the departments are different.

Worth checking twice a year

  • Do the notification addresses still belong to people who work here?
  • Does each line's name still describe what it is used for?
  • Send yourself a test fax and confirm the notification arrives.

Stale notification addresses are the most common reason a business misses faxes for weeks without realising.

Q: Can I change my fax number here?
A: No. The number is fixed on this screen — contact us if you need a different one.

Q: Can two people be notified?
A: Yes. Enter the addresses separated by commas.

Q: Does the notification include the fax?
A: Open the fax from your Fax Inbox, where you can view or download the PDF.

Q: I have several numbers. Do they share settings?
A: No. Each line has its own name and notification email.
