Export and clean up your contacts

Download a contacts CSV, review its contents and choose the right action for outdated or duplicate records.

Use Export to download contact data for review. Before cleaning up the address book, distinguish between updating a person, removing a list membership, deleting a contact and blocking a number.

Export contacts

  1. Confirm the intended business/location and open Contacts.
  2. Click Export in the page header to request the CSV download.
  3. Find the downloaded file in your browser's downloads and open it in your spreadsheet application.
  4. Review the headers, row count and several representative contacts. Confirm the file contains the records and fields you need.
  5. Store it in an approved private location and share it only with people who need that contact information.

Do not assume the downloaded file is restricted to the visible page, checked rows or current search. Inspect its actual contents before using or sharing it. If you need a narrower list, work from a copy and verify the rows included in that copy.

When opening a CSV, import phone columns as text when your spreadsheet allows it. Check that country codes, leading zeros and complete digits remain intact. A spreadsheet can change how numeric-looking values are displayed.

Choose the right cleanup action

  • Edit: correct a name, email, birthday or phone detail on the existing record, then Save.
  • Remove from list: remove the person from a specific Contact List while managing list membership.
  • Delete: remove the selected contact record from Contacts. Review the record and any confirmation carefully before proceeding.
  • Delete selected: perform the contact-deletion action for the records you have selected. Confirm the selected set before using it.
  • Block number: use the separate number-blocking workflow when the objective is to stop unwanted communications covered by that feature. Review the blocking guide for its scope.

Deleting an address-book record is not a substitute for removing list membership, handling an unsubscribe request or configuring a number block. Choose the action that matches the actual request.

Review possible duplicates

  1. Search by the complete phone number and compare any matching records.
  2. Check names, email, addresses, notes, list membership and appointments before deciding which record to keep.
  3. Preserve useful information through the appropriate profile forms before removing a redundant record.
  4. For an individual deletion, use that row's Delete action. For several records, select only the intended rows and review the selection before Delete selected.
  5. After completing the chosen action, search again and verify the remaining records.

Similar names alone do not prove duplication. If you cannot confidently determine that a record is redundant, keep it until your team resolves the identity question.

Understand the limits of an export

A CSV should not be treated as a complete backup or an automatic undo for contact deletion. Check which fields it actually includes; do not assume reimporting it restores notes, appointments, list relationships or every profile detail. If a record was deleted accidentally, contact support before attempting a large replacement import.
