How to Set Up Business Hours
Build Business Hours with day and time conditions in the same group, choose open and closed destinations, connect the schedule and test both routes.
Route open-hours and after-hours calls
Prepare the destinations first: for example, a ring group for open hours and a voicemail for closed hours. Confirm which time zone your account uses before entering the schedule; ask your administrator if you are unsure.
1. Open Business Hours
- Go to Settings → Phone Numbers.
- Find the correct number and click Call Flow.
- Choose Business Hours in Sections and click Add Business Hour. To edit, use the pencil beside the existing schedule.
- Enter a recognizable Name and, optionally, a Description.
2. Put related conditions in the same group
- In Group 1, choose Day of Week. Set From to Monday and To to Friday.
- Click the + icon in that row’s Actions column (Add condition).
- In the new row inside Group 1, choose Time of Day and enter the opening and closing times, for example 9:00 AM to 5:00 PM.
- Choose that group’s Destination, such as your daytime ring group or IVR.
Keep the days and their hours in one group so the route is tied to that combination. Add Group creates a separate group with its own destination; it is not the button for adding the time condition to the existing group.
3. Add other groups only when needed
For a different Saturday schedule, use Add Group, add Saturday and its time range within that new group, and select its destination. Use the up/down controls to set group priority; review overlapping groups carefully. Day of Month is a day-number condition, not a complete month-and-year holiday date.
4. Set the closed-hours destination and save
Choose Alternate Destination for calls that do not match a group. A voicemail with a closed-hours greeting is a common choice. Review every group’s destination, then click Save.
5. Connect the schedule to incoming calls
Return to the section named after the phone number. In Select Action for Incoming Calls, choose the schedule and click Save. If an existing block should run first, connect the schedule through that block instead.
6. Test both paths
- Call from an external phone during open hours and confirm the correct destination.
- Test outside the range and confirm the alternate destination and greeting.
- Include a weekend and times near opening/closing when validating the schedule.
- If a test requires temporarily changing hours, use an agreed test window and restore the intended hours immediately afterward.
Unexpected routing? Check the account time zone, group conditions and priority, the incoming action, and whether always-forwarding is enabled for the number. Saving a schedule alone does not activate it.
