Customize Booking Page Appearance for Each Service
Set the calendar’s booking-page photo, name, address and welcome text, then give a custom link its own appearance and verify what customers see.
The booking page should tell customers what they are booking, who they are meeting and where to go. You can set a shared appearance for the calendar and use a different appearance on a custom booking link. These settings describe the page; availability and booking capacity still come from the calendar and the link's scheduling settings.
Prepare the information customers should see
Choose an appropriate photo, a public-facing person or team name, the appointment address and a short welcome message. Use a service name or role when you cannot promise a particular staff member. Check the information for the selected business location. Avoid internal notes or private details in these public fields.
Set the calendar's default appearance
- Open Settings → Calendars Config and the intended calendar's settings.
- In General, find Booking page look.
- Use Choose photo to select the image. Follow the file chooser and any validation shown by Office; review the resulting preview.
- Enter Who people are meeting, Address and Welcome message.
- Click Save booking page look. This section has its own save button; it is separate from Save General Settings.
- Open the relevant booking link to check the saved appearance.
Office describes the address as being shown with a Map link. Verify the address and resulting destination before sharing the page. Calendar Name and the name customers see are separate choices; review the public page rather than relying on an internal label.
Give a custom link its own appearance
- Open Booking Pages. Open the custom link's settings, or choose New link to prepare one.
- Check Name, which customers see on the booking page, and the link's appointment length and hours.
- Expand Look on this link and select This link looks different from the calendar.
- Choose the link's photo and enter its own meeting name, address and welcome message.
- Review the rest of the link settings and click Save hours. Open that exact link and verify the result.
The screenshot uses illustrative text, not a customer's name or address.
Understand empty fields and inheritance
With This link looks different from the calendar enabled, an empty field shows nothing in that place. It does not fall back to the calendar's value. Complete all the fields you want this link to show.
To return to the calendar's appearance, clear that checkbox and save the link. Then inspect the public link again. For example, a default page may show the service team and main address, while a first-visit link shows a different welcome message. If that link uses its own appearance, include its address too when it should be visible.
Set branding and post-booking communication separately
Under Advanced (limits, branding), Brand color controls the link's color. Choose a color and check that the final page remains readable. Confirmation message is the message shown after booking; it is not the same as the welcome text shown before booking.
Notification email sets the recipient for the link's booking email with calendar invite. Reminder template sets its SMS reminder schedule. Neither replaces checking the calendar's SMS number, message wording and recipient. Review notification templates before enabling customer messages.
Review the complete customer journey
- Open the precise URL you will share. A different link on the same calendar may have different appearance or hours.
- Check the visible name, photo, address, map destination, welcome text and colors, including on a narrow screen.
- Check appointment length, time zone and available dates. A new welcome message does not change the actual service duration or open another day.
- If the page is missing an address or photo, check whether its own appearance is enabled and the corresponding field is empty.
- If organizing a test booking, use a phone and email you control because messages may be sent. Review and remove the test booking and pending notifications afterward.
Keep wording aligned with the real service. Changing a displayed name does not assign staff, change capacity or configure what an AI assistant may promise. Those settings need their own review.
