How to Use the WhatsApp Template Library in Office

Find predefined WhatsApp templates, configure their name and buttons, and check availability before messaging.

Start with a ready-made WhatsApp template

Template library lets you browse predefined Meta templates instead of writing a custom message from scratch. Office labels these templates as pre-approved. Select the wording and language that fit your use case, configure the fields offered, and check the resulting template status before using it.

Before you begin: connect WhatsApp in Office and ensure you have access to template settings. Creating a template does not send a message to customers.

1. Open and search the library

  1. Open Settings → WhatsApp → Templates.
  2. Click Template library.
  3. Choose English or Spanish under Language.
  4. Use Search to find a template by its wording or name. You can also narrow the list with Category, Industry and the available use-case filters.
  5. Read the card's content, category, language and buttons before choosing it.

The capture shows appointment_reminder_2 with library-provided demonstration values. These are not customer details or an actual booking.

If no option fits, clear the search and filters or change the language. For your own wording, use Add template: create a custom WhatsApp template.

2. Configure the selected template

  1. Click the template card to open its configuration dialog.
  2. Enter a unique Template name. The screenshot uses the fictional name appointment_library_demo.
  3. Complete any configurable button link or phone number shown for that template. In this example, View details asks where the link should open. Replace the example URL with your own correct destination.
  4. Check Preview. The dialog shown does not offer a free-text body editor; use a custom template if you need different wording.
  5. When ready, click Create template. To leave without creating it, use Cancel.

3. Check the result before messaging

Return to Templates and confirm the template is present and available for use. A library template is a reusable message format—not a broadcast, appointment automation or message-delivery confirmation.

When you use it, supply the correct recipient-specific values for its variables. Library preview names and dates are examples, not your customer's information. Use the correct WhatsApp channel and follow the applicable recipient consent and messaging requirements.

Library or custom template?

Use the library when its predefined wording, language and buttons already fit your purpose. Configure only the fields offered for that item.

Use Add template when you need your own text, variables or button configuration. That separate flow uses Send for review for Meta approval. See How to Create WhatsApp Message Templates in Office.

Troubleshooting

No results: clear Search, review the filters and try the other language. Availability can differ by language.

Cannot create: check the name and required configuration fields, then read any displayed error. Do not assume the template was created without checking Templates.

Template created but message not sent: creation and sending are separate actions. Check availability, recipient values and the sending workflow rather than creating duplicate templates.
