How to Create WhatsApp Message Templates in Office
Create custom WhatsApp templates with variables, samples and buttons, then submit them to Meta for review.
Create a reusable WhatsApp message
Use a custom WhatsApp template when you need your own wording, variables and optional buttons. This guide covers creating the template and sending it to Meta for review—not sending a message to customers.
Before you begin: your business must have WhatsApp connected in Office and access to its template settings. WhatsApp templates are separate from the saved replies under Conversations → Message Templates.
1. Open the template editor
- Open Settings → WhatsApp.
- Select Templates, then Add template.
- Enter a unique Template name using lowercase letters, numbers and underscores, such as
appointment_reminder_demo. Choose carefully: the editor warns that the name cannot be changed later. - Select Language (English or Spanish) and the Category that matches your message. The custom editor offers Utility and Marketing. Meta reviews the submission; choosing a category does not guarantee approval.
2. Write the content and add sample values
The body is required. The current editor allows a body of up to 1,024 characters, an optional header of up to 30, and an optional footer of up to 60. Keep the message clear and specific to its purpose.
Add numbered placeholders such as {{1}} and {{2}}, or use Add variable. Supply a sample for every variable in Sample content Meta will review. Use fictional examples rather than private customer information.
Example body: Hi {{1}}, this is a reminder of your appointment on {{2}}. Reply if you need help with your booking. Example samples: Alex Example and October 10 at 10:00 AM. These are demonstration values—not an actual appointment.
3. Review the preview and buttons
Preview replaces variables with their sample values. Check the wording, language, spacing and variable order before submitting.
Under Button type, choose Without buttons, Reply buttons, Call button or URL button. The current editor supports up to three reply buttons, or one URL or call button, using one button type.
Check any link or phone number you add. Samples help Meta understand the template; actual recipient-specific values must be supplied when the approved template is used.
4. Send for review—not to customers
- When the template is ready, click Send for review.
- Return to Templates to check the submission and its current status.
- Wait until the template is approved and available before using it. Review timing varies; submission is not approval.
Important: Send for review submits a template for Meta review. It is not a broadcast or a customer message. To leave without submitting, use Cancel.
Common questions
Why are sample fields required? They explain what each variable represents. Provide a sample for every placeholder and verify the preview.
What if the template is rejected? Read the feedback provided, correct the content or category as needed, and follow the available submission controls. Do not repeatedly submit unchanged wording.
Can I start from ready-made wording? Yes. Open Template library instead of Add template to browse predefined options.
