Ring Groups vs. Call Center Queues: Which Should You Use?
Compare team ringing with an agent queue. Choose the right option for reception, sales or support, and plan waiting limits, fallback destinations and business hours.
Choose based on what callers should experience
Choose Team Ringing (Ring Groups) when a call should ring a set of extensions or allowed external numbers. Choose Call Center Queues when callers should wait with music until an eligible agent can answer. A queue is not simply a Ring Group with a longer timeout.
At a glance
| Need | Ring Group | Call Center Queue |
|---|---|---|
| Who receives the call? | Configured destinations, such as extensions or cell phones. | Extension-based agents assigned to the queue. |
| What happens while the team is busy? | Attempts destinations according to the strategy and timing; it is not an agent waiting queue. | Callers wait with music, subject to the queue's waiting limits. |
| How are calls distributed? | Simultaneous, Sequential, Rollover or Random. | Agent strategies such as Ring everyone, Round Robin or Longest waiting agent. |
| How is participation controlled? | Enabled per destination, plus destination timing. | Agent status, ringing/retry timers, wrap-up and queue membership. |
| If nobody answers | Configure Timeout Destination. | Configure waiting limits and If nobody answers. |
When a Ring Group fits
A small reception team may want all phones to ring together. A sales team may want to try one destination and then another, or include a cell phone. Use Sequential + Order for a defined sequence and Timeout for each destination. With Simultaneous, review Delay if phones must start ringing together.
Enabled temporarily disables a destination without deleting it. This is not the same as a Call Center agent's Available, On break or Logged out status.
When a Call Center Queue fits
Use a queue for support or a busy reception desk when callers should stay in a waiting line rather than only ring a list of phones. Create the queue, configure agents and assign them to it. An agent can belong to several queues; the agent's settings and status apply across them.
Choose a distribution strategy, hold music, an overall Maximum wait and a Maximum wait with no agents. Agent Ring for controls an individual offer, not the caller's total waiting time. Wrap-up gives the agent time after a call.

Three practical examples
- Reception: a few phones that should ring together → Ring Group. If callers need to wait while all receptionists are busy → Queue.
- Sales: a fixed order of extensions or a cell-phone destination → Ring Group. A staffed team needing rotating distribution and agent availability → Queue.
- Support: callers waiting with music, agent breaks and wrap-up time → Queue.
Choose by the desired behavior, not the department name. Ring Group Rollover is not Call Center Round Robin. Random selection also does not guarantee a different agent on every call.
Plan hours and unanswered calls for either option
Creating a group or queue does not automatically connect it to your business number. Keep Business Hours or a Phone Menu (IVR) as the entry point when needed, and select the group or queue as its destination. Do not bypass the closed-hours route accidentally.
Choose a clear fallback, such as voicemail, and avoid returning the call to the same group or queue. In a queue, leaving If nobody answers empty hangs up the call when the waiting limit is reached. If a Ring Group includes a cell phone, test whether the carrier voicemail answers before your intended fallback.
Before going live
- Verify the intended destinations or agent memberships and phone availability.
- Place test calls, answer and check two-way audio.
- Test busy and unanswered calls, all agents unavailable for a queue, and the fallback.
- Check open and closed hours. Repeat calls if the chosen strategy should rotate agents.
